Children's privacy notice for parents

This notice is for parents and legal guardians. It explains how Hivetime handles information about children under 13, as required by the Children's Online Privacy Protection Act (COPPA), and how you stay in control of it.

Effective November 7, 2026 · Version 2026-11-07.5

The short version

  • Children under 13 don't have a Hivetime login or email. A parent adds them and manages their calendar.
  • We use your child's information only to run your family's calendar. Never for ads, and we never sell it.
  • Your child's photo stays inside your family. Booking pages never show it, and never name your child as a person being booked. A booking link's title, description and location are whatever a parent types, so leave out anything you don't want visitors to see.
  • AI helpers are off for your child unless you turn them on. While they're off, your child's profile and the events and tasks they add or are on aren't sent to the AI model for anyone's plans or suggestions (a title someone types, like "Pick up Leo", is sent as written).
  • You can review, change or delete your child's information at any time, in the app or by emailing privacy@hivetime.app.

How kids use Hivetime

Hivetime is a family calendar for parents and families. It isn't designed for children to use on their own, and children under 13 can't create an account or sign in. Instead, a parent adds a child to the family, and the child's events, tasks and chores live on the family calendar where parents manage them. Children don't send us information directly, can't post anything publicly, and can't chat with anyone through Hivetime.

Parents choose the age at which a child takes over their own calendar. It's 13 by default, and a parent can set it higher. This notice covers children under 13 and any older child a parent still manages.

Before you add a child under 13, Hivetime shows you this notice and asks you to confirm that you are the child's parent or legal guardian and that you agree to us collecting and using your child's information as described here. You add a child from your own signed-in parent account. We keep a record of your agreement, including the date and the version of this notice.

We only collect what's reasonably needed for the features you use, and we never ask for more information about your child as a condition of using Hivetime.

What we collect about your child

Everything below is entered by you or another parent or adult in your family, not by your child:

  • Profile: first name (or nickname), birth month and year, the color shown on the calendar, and an optional photo. Only a parent can add or change a child's photo.
  • Calendar content: events, locations typed into events, reminders, tasks, chores, lists and honey rewards that include your child.
  • Connected calendars: if you add a school or team calendar link for your child, the events from it.
  • AI input, only if you turn AI on for your child: their first name, role, age group and age, which go with plans and suggestions any family member runs in the cloud; and, for suggestions, the coming week's events and open tasks (any due date, or none) they're on (titles, times, places, travel time, due dates and who's on each) when whoever added them and everyone on them have AI and suggestions on.
  • Calendar photos: a school calendar photo goes to the AI model only when AI is on for everyone it's for (or, if nobody is picked, everyone in the family) and the person scanning uses Hive AI in the cloud. If AI is off for your child, a photo for them is read on the iPhone and never sent. To say who the dates are for, the AI model is told only "the whole family" or how many kids and adults, not your child's name. A photo that is sent is deleted right after it's read, and in all cases within two days.

We don't collect your child's email, phone number, precise location, voice, or any information from a device your child uses on their own. Location sharing is never available to kids under 13.

How we use it

  • To show your child's schedule, tasks and chores to your family.
  • To send reminders and notifications to the parents and other family members who should get them.
  • To apply the age rules you set.
  • To run the AI helpers: your child's profile, events and tasks only if you turned AI on for them. A calendar photo read for other family members, or text someone types into a plan, can still mention your child; it can be sent when the person using the helper has it on and uses Hive AI in the cloud. Event and task titles go to suggestions as typed, so a title that mentions your child (like "Pick up Leo") can be sent even while AI is off for them.
  • To sort bug reports and feature requests a family member sends, with the same AI model, whatever the AI settings. We automatically remove common personal details (such as your family's names, email addresses and phone numbers) first, so please leave other details about your child out of what you write.
  • To keep Hivetime secure and working.

We never use a child's information for advertising, marketing to the child, or building a profile about them, and we never use it to train AI models.

Who can see it

  • Your family: people in your Hivetime family can see your child's events and shared tasks. Only the people they're for, the person who added them, and parents can see your child's individual tasks.
  • Booking guests: booking pages never show a child's photo or name a child as a person being booked. A booking that involves your child always needs a parent's approval.
  • Anyone with a booking link: a link's title, description and location are whatever a parent types, and a link can be open to anyone who has it. Leave your child's name and anything else you'd keep private out of them.
  • No one else: nothing else about your child is ever public.

Who we share it with

We don't sell, rent or give children's information to third parties for their own use. We share it only with service providers that help us run Hivetime, who may use it only for that purpose and must protect it:

Service providerWhy
Amazon Web ServicesStores and processes Hivetime's data in the United States. Runs the AI model (Claude by Anthropic, on Amazon Bedrock) for the AI helpers, as described above, and to sort bug reports and feature requests after we automatically remove common personal details (such as your family's names, email addresses and phone numbers). Bedrock doesn't keep or train on the data.
GitHubTracks the bugs, crashes and ideas families report: the feedback text after we automatically remove common personal details (such as your family's names, email addresses and phone numbers), a title and summary (usually written by the AI model for typed reports), the date it came in, the app version, device model and iOS version, and for crashes the technical crash report. These reports stay until we no longer need them to fix the problem, even after a child's profile is removed, so please leave details about your child out of feedback.
AppleDelivers notifications to your family's iPhones. A notification may include your child's first name, for example "Leo's soccer practice starts at 4:00". When someone shares their location, family iPhones ask Apple Maps for that person's drive to events they're on in the next 3 hours, which can include the place typed into an event your child is also on (never your child's own location).

We may also disclose information if the law requires it or to protect a child's safety.

How long we keep it (our data retention policy)

  • We keep your child's information only while their profile is in your Hivetime family, so we can provide the calendar you're using.
  • When you remove your child's profile, we delete their profile, photo, and the events and tasks that were only for them right away.
  • When the last parent in a family deletes their account, we delete the whole family's data, including every child's information.
  • School calendar photos are deleted after the AI reads them, and in all cases within two days.
  • Deleted information leaves our rolling database backups within 35 days. Backups are used only to recover from failures.
  • Your record of agreement is deleted along with your child's profile.
  • Bug reports, crash reports and feature requests a family member sends, and any screenshot attached, are deleted within 180 days. The reports we file on GitHub from them stay until we no longer need them to fix the problem, even after a profile is removed. Ask us at privacy@hivetime.app to delete one that mentions your child.

Your rights as a parent

At any time, you can:

  • Review your child's information. Open the Family tab and tap your child. To keep a copy, use Settings, then Privacy and data, then Download my data. The file has their profile (without their photo), events, tasks and lists. Events from school or team calendar links aren't in it. You can see their photo and those events in the app.
  • Change it. Edit your child's profile, events and tasks in the app.
  • Delete it. In the Family tab, tap your child, then Remove from family.
  • Stop further collection and use. Removing your child's profile stops it. You can also turn off AI helpers for your child in the Family tab while keeping their calendar.

If you'd rather do this by email, write to privacy@hivetime.app from the email address on your parent account and tell us your child's first name and what you'd like us to do. To protect your child, we'll only act on requests we can confirm come from a parent in that family. We'll respond within 30 days.
